1. Data Controller

BeC System (operated by BEC Inteligência em Tecnologia Ltda.) is the data controller for personal data collected through this website and in the context of providing technology consultancy, strategic CTO and software development services.

We operate from Valencia (Spain), São Paulo (Brazil) and Cali (Colombia), in compliance with the General Data Protection Regulation (GDPR), the Brazilian Lei Geral de Proteção de Dados (LGPD) and applicable international data protection law.

2. What data we collect

2.1 Data provided voluntarily

• Contact / diagnosis form: name, surname, email address, phone number, company, project description.
• Meetings and calls: name, email and any information shared during the discovery session.
• Direct email: content of messages sent to our contact addresses.

2.2 Automatically collected data

• Browsing data: IP address (anonymised), browser type, pages visited, time on site, traffic source.
• Technical and analytical cookies: required for site operation and aggregated usage analysis (see section 8).

3. How we use your data

• Respond to contact requests and manage the diagnosis or commercial proposal process.
• Manage the contractual relationship with active clients: deliveries, project communications, invoicing.
• Send value communications (only with prior consent): methodology updates, case studies, blog articles.
• Improve the website through aggregated, anonymous analysis of browsing behaviour.
• Legal compliance: retention of tax and contractual documents within applicable legal timeframes.

BeC System does not conduct unsolicited marketing, does not sell data to third parties, and does not use automated profiling to make decisions affecting individuals.

4. Legal basis

• Consent (Art. 6(1)(a) GDPR / Art. 7 LGPD): for marketing communications and non-essential cookies.
• Contract performance (Art. 6(1)(b) GDPR / Art. 7 LGPD): for managing contracted services.
• Legitimate interest (Art. 6(1)(f) GDPR / Art. 10 LGPD): for responding to incoming enquiries and site analytics.
• Legal obligation (Art. 6(1)(c) GDPR): for retaining tax and accounting records.

5. Storage and security

Data is stored on AWS (Amazon Web Services) infrastructure with encryption in transit (TLS 1.2+) and at rest (AES-256). Access is restricted to authorised BeC System team members via multi-factor authentication.

Retention periods

• Contact data without conversion: 12 months from last contact.
• Active client data: for the duration of the contract + 5 years for tax obligations.
• Anonymised browsing logs: 14 months (GA4 standard).

After these periods, data is securely deleted or irreversibly anonymised.

6. Sharing with third parties

BeC System does not sell or transfer personal data to third parties for commercial purposes. We may share data only with:

• Technology service providers (AWS, Google Workspace, HubSpot CRM) as data processors, under confidentiality agreements and DPAs.
• Legal or accounting advisors when required for compliance with legal obligations.
• Competent authorities when legally or judicially required.

7. Your rights

Under the GDPR and LGPD, you have the right to:

• Access: know what data we process about you.
• Rectification: correct inaccurate or incomplete data.
• Erasure ("right to be forgotten"): request deletion of your data when no longer necessary.
• Restriction: restrict processing in certain circumstances.
• Portability: receive your data in a structured, machine-readable format.
• Objection: object to processing based on legitimate interest.
• Withdrawal of consent: at any time, without affecting the lawfulness of prior processing.

If you believe our data processing infringes applicable law, you have the right to lodge a complaint with the competent supervisory authority (ICO in the UK, AEPD in Spain, ANPD in Brazil).

8. Cookies and tracking technologies

Essential cookies

Required for the technical operation of the site. No consent needed.

Analytical cookies

We use Google Analytics 4 with IP anonymisation enabled to understand aggregated visitor behaviour. You can reject them in the cookie banner.

Third-party cookies

The scheduling form uses HubSpot Meetings. HubSpot may set its own cookies under its independent privacy policy.

9. Minors

BeC System's services are intended exclusively for businesses and professionals aged 18 and over. We do not intentionally collect data from minors. If we detect that we have received data from a minor, we will delete it immediately.

10. Changes to this policy

BeC System may update this policy to reflect regulatory, technological or service changes. The update date is shown in the document header. Material changes will be notified by email to active clients.
